Records management is more than simply putting files in boxes and putting boxes on shelves, it’s about having pin-point accuracy in retrieving any and all information you may need at any given time. With an active management approach, Morgan Records Management takes service to a whole new level. We work hard to make sure you don’t have to.
Our comprehensive records management strategy for paper records includes the following services:
- Delivery and Scheduled Pick-Ups of Records - Delivery service for record units (boxes, files, other storage units) is based on client demand and the retrieval process. Pick-up of record units are based on a published schedule and are scheduled for the next available pick-up date.
- Retrieval and Timely Re-file Service - Retrieval service for record units is based on client demand. Re-file Services are scheduled based on the timely return of storage boxes (units) to Morgan Records Management. Boxes and files returned are always validated and reconciled on the same business day that they are received back into inventory.
- File Level Indexing – File level indexing is a practice by which each box of records (files) is indexed one step further than simply identifying the box. No longer must someone remember which box a particular file is in, all they need to know is the pertinent information that they would normally use to identify that file, much like a Google™ search. File level indexing takes all the guess work out of locating information, and puts the power to find it back in your hands.
- Will Call Service - Clients may pick up record units during normal business hours. Record Storage Boxes (units) are checked out at the Morgan Records Management’s office only to authorized client personnel listed on the authorization schedule approved by client.
- Conference Room Review - Morgan Records Management‘s conference room is available to clients to review files privately. Clients who wish to review boxes or files over several hours or days must reserve the conference room in advance. Business services such as copying, faxing, and Internet access may be available.
Effective records management includes plans that encompass an entire paper record’s life-cycle (from creation to disposition), but records themselves encompass more than paper!
